The primary aim of this policy is to protect the identity of club members and ensure appropriate consent is given for the capture and use of all images. This policy will also prevent the exploitation of hockey and young people from inappropriate portrayal.

This policy covers all forms of image capture including, but not limited to, still and moving image capture, digital images and live stream. While the policy is particularly appropriate to players aged under 18, it equally applies to all senior club members, volunteers, coaches, umpires and officials.

Action necessary by all club members

All players must give consent for their image to be captured, stored and used. This is recorded via the membership form and is subject to annual review. Consent must be actively provided and where it is not provided the assumption is against permission for the club member’s image to be captured. For club members aged under 18, consent must be provided by the parent / guardian.

While permission is recorded as part of the annual membership information review, club members may wish to change their permissions at any point. In these circumstances they must update their membership form and inform their team captain once this is completed.

In order to support the development of players through the use of video capture for coaching and assessment purposes, particularly those undertaking PE or sports science for academic qualifications, players who have not given consent for their image to be captured may exceptionally choose to give verbal consent for such data capture on a case by case basis.

Action necessary for those wishing to collect images

In order to ensure the good reputation of both Ely City Hockey Club and hockey in general, it is the responsibility of the person or persons taking the image to ensure images are not sexual or exploitative in nature and represent fairness and decency.

Any person wishing to capture images for any purpose, including coaches, opposition supporters opposing teams, and members of the press must speak to team captains and umpires prior to the start of the match, or coaches if images are to be captured at a training session, providing details of the reason for image capture and future use. Ideally where this is known in advance of the fixture or training session this should be communicated as early as possible. Team captains and coaches will then be able to identify those club members who have not provided consent.

Action necessary for team captains, coaches and those undertaking publicity work for ECHC

Team captains and coaches must be familiar with the policy. Details of those who have not given consent is available via the membership database and must be checked when any photography request is made. Those submitting press reports with accompanying photographs, running social media accounts or the website must ensure they are aware of this policy and that the only images used for this purpose are in line with this policy.
